VoIP carries business calls over an internet connection, while a traditional landline uses a dedicated carrier circuit. VoIP usually wins on flexibility, administration, and support for remote or multi-location teams. A landline can still be useful where internet or power resilience is weak or where a legacy device depends on an analog line. The decision is not just about replacing desk phones. It involves the network, emergency calling, number porting, call routing, backup power, fax and alarm lines, and what happens when the main internet connection fails. A good migration answers those questions before the first number moves.

What is the practical difference between VoIP and a landline?

A landline turns voice into a signal carried across a dedicated telephone network. VoIP turns voice into data packets and sends them across the business network and internet, just like other cloud applications. That change separates a phone number from one physical copper pair. A user can answer the same business number on a desk phone, laptop, or mobile app; a company can manage several offices as one system; and call routing can change without a technician rewiring the building. The tradeoff is that voice now depends on the quality and resilience of the network carrying it.

Is VoIP cheaper than a landline?

It often reduces the cost and effort of moves, additions, long-distance calling, separate office systems, and aging on-premises phone hardware. The invoice alone does not tell the whole story. Include handsets, licensing, taxes and regulatory fees, internet capacity, network switches, backup power, installation, training, and any remaining analog lines. Also count administration: changing an auto-attendant or adding a remote employee is usually faster in a cloud system. We avoid promising a universal percentage because two businesses with the same headcount can have completely different calling patterns and network readiness.

What changes for employees?

The business number follows the employee instead of staying on one desk. Calls can ring a desk phone and mobile app, voicemail can arrive in email, reception can transfer calls to remote staff, and teams in different locations can share extensions and queues. Presence, call recording, reporting, and integrations may also become available depending on the platform and policy. The change needs a simple usage plan. If every feature is enabled without deciding how calls should flow, the business gains a complicated phone system rather than a better one.

Is VoIP reliable during an internet or power outage?

VoIP is as reliable as the design around it. A local power failure can take down the modem, firewall, switches, and phones unless they are protected by backup power. An internet outage can interrupt calls unless there is a secondary connection or the provider can reroute calls to mobile devices. Cloud call control may remain online even when the office is not, which creates more recovery options than an on-premises phone server. Before migrating, document what continues during a five-minute outage, a four-hour outage, and a building closure. The answer should not depend on someone logging into a portal they have never used.

What determines VoIP call quality?

Bandwidth matters less than consistency. Voice uses modest capacity, but it reacts badly to latency, jitter, packet loss, congested Wi-Fi, or a switch that cannot prioritize real-time traffic. A readiness assessment should test the connection throughout the day, inspect the firewall and switching, separate voice traffic where appropriate, and confirm that remote users have a workable path. Buying more bandwidth does not fix every issue. A clean network with traffic prioritization and current equipment usually matters more than the largest advertised internet plan.

Can you keep your existing business phone numbers?

Usually, yes. Number portability lets a customer move an existing number between eligible providers, but the details must match the current carrier records exactly. Inventory every published number, direct number, fax line, alarm line, elevator phone, and temporary forwarding rule before submitting the port. Do not cancel the old service first; that can release the number or break the port. Plan a cutover window, test inbound and outbound calling, and keep the previous service available until the new provider confirms the port is complete.

What should you know about E911 and emergency calling?

A traditional line is physically tied to a location. A VoIP number may be used from several buildings or from home, so emergency services need an accurate dispatchable address for each location or device. Review how the provider handles address registration, remote users, office moves, and notifications when someone calls 911. Test the administrative records without placing an unnecessary emergency call. This is an operational responsibility, not a one-time setup box, because employees and devices move.

When does a landline or hybrid setup still make sense?

Keep or replace analog services deliberately when a building alarm, elevator, gate, fax workflow, point-of-sale terminal, or other specialist equipment cannot move safely to an IP alternative. A location with one fragile internet circuit may also need connectivity work before voice migrates. Some of these systems can use cellular or purpose-built adapters; others need a dedicated line. Inventorying them is part of discovery. The common failure is moving the visible desk phones and discovering the hidden lines after the old service is cancelled.

What does a safe VoIP migration look like?

Use seven steps. First, inventory numbers, devices, call flows, analog lines, contracts, and carrier records. Second, test internet and network readiness. Third, design the auto-attendant, queues, business hours, emergency routing, and outage behavior. Fourth, configure users and devices before the port date. Fifth, train reception and a pilot group on the calls they handle most. Sixth, port in a controlled window with both providers available. Seventh, test every published number, outbound caller ID, voicemail, transfers, queues, E911 records, and failover before cancelling the previous service.
